A Practical AI Stack for a Small Accounting Firm
Published 5 August 2026
Most AI advice for accountants is written for firms with a technology budget and someone to run implementation. This is written for the practice where the partner is also the IT department.
First: fix document capture
If you are still keying receipts and invoices, this is where your money goes. A capture tool pays for itself faster than anything else on this list, and it is the least disruptive change you can make.
Start with Dext if your volume is steady, AutoEntry if it is seasonal.
Second: fix client chasing
The second-largest cost in a small practice is waiting for clients. Keeper turns the uncategorised transaction list into plain-English questions and chases automatically.
This one is worth doing before workflow software, because chasing is what actually delays your jobs.
Third: fix your workflow
Once documents arrive and questions get answered, the constraint becomes internal coordination. That is the point to look at Karbon or TaxDome.
Do not start here. Practice management software imposed on a chaotic process just makes the chaos visible.
What to skip for now
Audit tools, close management platforms and contract analysis are all excellent products aimed at organisations much larger than yours. Enterprise pricing and implementation projects are not where a small practice should spend its first AI budget.
A realistic budget
A two-to-ten person practice can make meaningful progress on capture and client chasing for a few hundred dollars a month. Measure the hours saved for one quarter before adding anything else.
